  1. Create an account on connect.mailedi.dk
  2. Buy the appropriate license. Ticket coupon or annual licenses fee.
  3. Download and install the client program XML-Faktura®.
  4. Set-up the XML-Faktura® program.
  5. On-line support.      Buy online on connect.mailedi.dk

1. Create your account

Create account

After you have created your account, you will receive an e-mail. This e-mail will contain a link for activation of your account. Click on the link to activate your account, and after that, you can log into your account on connect.mailedi.dk to buy ticket coupon/annual subscription.

Most fields are self-explained, however, the field "Receiver ID" requires a little explanation:

This field is used when receiving documents. This can be your tax number or a GLN number. It is important that you give this number to your trading partners and that they inserts this number as recipient identification. In an invoice, your recipient number have to be in field:

OIOUBL:

cac:AccountingCustomerParty / cac:Party / cac:PartyIdentification / cbc:ID

OIOXML:

Invoice / com:BuyerParty / com:ID

Notification:

You can receive a notification e-mail when someone is sending you documents. This is useful if you receive few documents and like to be notified whenever something has arrive in your inbox. After you have activated you account, you can log-in to you account on http://connect.mailedi.dk and choose 'Profile'. You then activate notification in your profile setting and type in the e-mail address you want. If you only activate notification, you will receive the e-mails in the same inbox as you used when creating the account.

Nemhandel:

If you wish to receive documents, this is done via Nemhandel or via MailEDI’s gateway to the VANS network. Documents arrive at connect.mailedi.dk and then downloaded to your server via the client application XML-Faktura®. This can be done in two ways. You can either choose to create your own registry in Nemhandel with your own CVR / GLN number in the Nemhandel registry and point to connect.mailedi.dk receiving address (EndpointID) or you can to use MailEDI's GLN 5790002264917 as your EndpointID (electronic endpoint address) You have to give this GLN to your customers / suppliers.

2. Buy ticket coupon/annual subscription

When you log on to your account at connect.mailedi.dk, you choose 'My documents' | 'Buy subscription'  to buy ticket coupon or to buy/renew your subscription.

All ticket coupon are valid for 3 years.

Buy the ticket coupon that suit your usage. If you Send/receive more than 3000 documents per. year, it will be better to buy the annual subscription instead of ticket coupons. When you buy the annual subscription, you can send/receive a unlimited number of documents via Nemhandel. Documents to and from VANS network must paid separately with ticket coupon for VANS trafic . However, you can send/receive 200 documents via VANS, free og charge, if you buy an annual subscription.

Please press F5, if the screen do not update automatically after the purchase.


3. Download XML-Faktura®

Please notice, that you have to have .NET 4.0 installed on your PC/server, in order to run XML-Faktura®


4. Setting up XML-Faktura®

After downloading and installing XML-Faktura®, you start the program.

In the settings there are 2 tabs that has to be completed (Folders and MailEDI Account) and two tabs that can be filled out (service and proxy)

1. Select the folder in which the electronic documents are located.

2. Select the folder where attachments to outgoing documents are available.

3. Select the folder where incoming documents to be saved.

4. Select the folder where attachments in incoming documents to be saved.

TIP! You can use copy/paste to fill in the folders. You might find the folder name for the outgoing document under the Configuration menu in the old version or you can find it in your ERP system. 

NB! If you want to use the Windows service, please remember to use the UNC format, if data is not on a physical harddisk on the server/PC, otherwise the service will not be able to find and send your documents.

Eg.: \\server_name\share\folder_name

Try to browse the Network from File Explorer if you don't know the full path.


Services

If you want the program to run as a Windows service, you must complete the tab 'service'.

Enter the start time, eg .: 06:00 

Enter the end time, eg .: 23:55 

If you want to review the invoices of the day, before they are sent, you can set the start time to 17:00, then sent your invoices will be sent at 17:00

Proxy

If you use a proxy server, set it up so the program can get access to the Internet. You may need help from your IT dept.

 

Connect to your account

The last step is to link the program to your account on connect.mailedi.dk. 

Enter your username and password and click 'Connect' 

Your ID from connect.mailedi.dk is downloaded to XML-Faktura® program, so the program knows where the documents should be placed on the server. 

Finally click 'Save' and close ' 

You are now ready to send and receive electronic documents

Connect to your account

If you want to send your documents manually and not use the Windows service, you will find your outgoing documents under the TAB 'Upload' and in the left side menu 'Outbox' | 'Document' | 'Not sent'

Select the documents you want to send and click on 'Upload'

Documents that are sent are moved to 'Sent'

If you need to attached files (eg .: a PDF document) this must be uploaded first.

 

When you receive documents, eg .: invoices from MailEDI, you can download them into your own systems. You do this under TAB 'Download', select the 'Queue' and click 'Reload'. If there are documents on the server queuing to you, they will appear on the list. Select the documents you want to download and click on 'Download'.

On the tab My Documents, you can see the document you have sent and received. By default the days documents are shown.

You can sort the result by clicking on the arrows icon in the header columns.

You can see the status of the documents in the second column from the right. 'Checkmark' for sent, 'warning sign' for error, 'time glass' for sending and 'watch' for queue.

To open a document for downloading or printing, you have to click on the 'eye' icon.

The search fields are displayed by clicking on the search icon. Search fields acts as wildcard searches when you type in the fields. If you press <ENTER> is a list of the documents that contain the search string. 

If you select values from the 'drop-down box, then the search will be exact values. Try to experiment a bit, so we can quickly learn to use the search function. 

If you are a service provider and sends on behalf of others, you will see a search field 'Customer'. If you select a customer using the search field, the other fields will be limited to the selected customer. 

You have the ability to upload documents via the tab 'Upload and send. This corresponds to upload via XML-Faktura®; but can be used if you are out off the office and need to upload an important document or if you for some reason can not get XML-Faktura® to work in your IT installation. 

You can keep track of your spending - click on the tab Consumption and see how much is left of your document package. You can also see your consumption over time. You can view the number of sent documents to the individual portals; but only the total amount of received documents.

Speciel for ServiceProvider 

If you are a Service Provider and send on behalf of others, you will see a search box 'Company'. If you select a customer using the search field, the other fields may be defined for the selected customer. It is important that you have created your own account on connect.mailedi.dk and you have been registered as Service Provider of MailEDI and that you use your own account in XML Faktura® if you upload documents on behalf of your clients.

Under Settings you will find the tabs you should use if you need to create partners to be treated differently than the 'ordinary' customers / suppliers. Or you can create custom conversion templates if you need it.

Partner

Here you can create custom translations if the customer / supplier has unique requirements for electronic documents. You can create custom translations on outgoing and incoming documents. On the outbound documents, you can send via NemHandel or as an attachment in mail, for example. attached as a PDF document. 

NB! It is NOT necessary to create a Partner at normal shipping NemHandel (to the public).

Sending

If your financial system can not produce standard OIOXML / OIOUBL documents, so you can choose to create CSV extension instead. These documents must be translated into OIOXML / OIOUBL before they can be sent to the recipient.

Receiving

If your financial system can not load the default OIOXML / OIOUBL documents, then you can choose to translate to a CSV file instead. You can also choose to translate to PDF if you just want to print the received documents and process them manually.

If you form extracts in CSV format instead of OIOXML / OIOUBL, you specify the tab CSV how your CSV file is built.

Tradeshift

If you have customers / suppliers on the Tradeshift portal, you can enter your login information. You get them from the Tradeshift portal by activating MailEDI app on TradeShift. You might want to read this...

Stylesheet

You can create your own templates and upload it to your account if you need special conversions.

Partner

In the picture below you can see how a partner setup might look. 

Start by creating a new partner. Click new. There will be a small box where you type: Partner ID, name, and possibly. email 

If you send to NemHandel and fills email will be sent a copy of the invoice as email.

You open the partner details by clicking on the small icon TV for the partner. Now you can correct any. existing information or create new. To create new, click on 'Add new'.

Example shown translator CSV input file to OIOXML (Invoice v0.7). The format is XML and stylesheet (translation template) is CSV_2_OIOXMLFaktura.xslt 

This setup means that if you create a CSV invoice from your ERP system to the created debtor, the system will translate to OIOXML and send it to your trading partner.

Mail: Means that you send the invoice as an attachment in an email 

Raspsend: Means that the file is translated and sent via NemHandel 

Receive: Indicates that incoming invoices (or other documents) from the partner translated specifically and / or placed in a special folder. 

Under the 'Output Format' you can choose different format types. Normally, all outgoing documents in XML format; but you can choose PDF, if the recipient wants it. On incoming documents is your ERP system that sets a limit on the format type. Can your ERP system load XML, select this, otherwise it will usually be CSV / text format to be loaded. If you have no desire to load the document into your ERP system, you can select PDF and then just print the document. If you just want to print the document can also be done from the 'Documents' menu.

Sending and receiving

The principle here is the same on the Partner Details, just here I have all outgoing (sending) and incoming documents (Receiving) regardless of which partner you are sending to. 

If you have both created documents in Sending and Partner, outgoing documents to be translated Partner / late accordance with the rules established in the Partner. For other beneficiaries will regleren from Sending be used for shipment.

CSV

If your ERP system (C5 / NAV / AX, etc) do not form OIOXML / OIOUBL files, you can still use XML-Faktura® and Connect.mailedi.dk. You can create a pull in a Comma Separated Values for (CSV) 

It is possible to create multiple CSV indstillnger for purchase of various types of documents; but the delimiter must be the same for all document types. (Default CSV)

Tradeshift

Tradeshift portal you will find your log-in information that you need. When you have typed all 3 information, you can test the connection if everything is OK. 

If you only want to use TradeShift and not send to Nemhandel / VANS, then put a checkmark in the 'TradeShift user'. If you do not tick, all outgoing documents first attempted shipped to Nemhandel, then to VANS and finally TradeShift.

Stylesheet

Here administered your stylesheet (templates). You can upload new and delete old ones that are no longer in use. You can not delete a style sheet that is in use on a partner or Send / Receive.

Lookup Endpoint addresses
